# What is the WhatsApp Business API — and do you actually need it?

_App, API, Cloud API, BSP, coexistence: the words every small business hears and nobody explains. Here is the whole picture in five minutes._

## The short answer

The **WhatsApp Business API** (Meta now calls it the _WhatsApp Business Platform_) is the way software talks to WhatsApp on a business’s behalf. The free **WhatsApp Business app** is a phone app a person uses. The API has no app of its own — it is a set of web endpoints that a program (an inbox, a chatbot, an AI employee) uses to receive and send messages on your number.

You need the API when something other than a human on a phone has to answer, or when you want to send approved messages to many customers with delivery receipts. You do not need it to “be on WhatsApp”.

## WhatsApp app vs WhatsApp Business app vs the API

- **WhatsApp (consumer app):** personal use. No catalog, no business profile, no API.
- **WhatsApp Business app:** free, for small businesses — business profile, catalog, quick replies, labels, up to a handful of linked devices. A person does the replying.
- **WhatsApp Business API / Cloud API:** software does the replying and sending. Unlimited agents, approved message templates, delivery and read receipts via webhooks, and official policy coverage for automation. Since coexistence, a Business‑app number can also be on the API at the same time.

## Cloud API vs On‑Premises API

The **Cloud API** is hosted by Meta: you (or your provider) call Meta’s servers directly, nothing to install, free to use apart from per‑message fees. The older **On‑Premises API** required running Meta’s software on your own servers; Meta has been retiring it in favour of the Cloud API. For a small business the Cloud API is the only option worth considering, and it is what iChatUp uses.

## What a BSP is (and whether you need one)

A **Business Solution Provider** is a company Meta lists as a partner for onboarding businesses to the API. Historically the API was only reachable through a BSP. With **Embedded Signup**, any software vendor can let a business connect its number through Meta’s own popup flow in a minute or two, so the question is no longer “which BSP” but “which software does the job you need”. Some vendors add a markup on Meta’s message fees; iChatUp does not.

## What it costs

Two parts. First, the **software** you use on top of the API (iChatUp is a flat monthly price per number). Second, **Meta’s per‑message fees** for business‑initiated template messages — marketing, utility and authentication — which vary by the customer’s country and are billed by Meta directly to your Meta account. Replies to a customer within 24 hours of their last message are free. Details in [WhatsApp Business API pricing explained](https://ichatup.my/guides/whatsapp-business-api-pricing-explained).

## Who actually needs the API

- A business that wants **software to answer** customers (an AI employee, a chatbot) with delivery receipts and policy coverage.
- A business that wants to **send broadcasts** — offers, reminders, updates — to customers who opted in.
- A team that needs **more than a few people** on one number, with assignment and notes.
- Anyone who needs **integrations**: bookings, payments, Google Sheets, CRMs, webhooks.
A one‑person shop that answers every message personally within minutes may be perfectly happy on the Business app.

## The fastest way to get on it

1. Pick software that offers Embedded Signup (iChatUp does).
2. Have a Facebook login that manages, or can create, your Meta Business portfolio.
3. Connect the WhatsApp Business number from your phone; approve coexistence so the app keeps working.
4. Create the templates you need (iChatUp submits them to Meta for you) and start.
Elapsed time, in practice: a few minutes. Template approval by Meta usually follows within minutes to a day.

## Questions

**Is the WhatsApp Business API free?**

Access to the Cloud API is free; Meta charges per business-initiated template message (marketing, utility, authentication) at rates that depend on the customer’s country. Replies within 24 hours of a customer’s message are free. Software built on the API, such as iChatUp, charges its own subscription.

**Can I use the WhatsApp Business API without a BSP?**

Yes. With Meta’s Embedded Signup, software vendors can connect your number directly through Meta’s popup flow. You do not have to contract a Business Solution Provider separately.

**What is the difference between the WhatsApp Business app and the API?**

The app is a free phone app a person uses to chat. The API lets software receive and send messages on your number: automated replies, approved broadcasts, team inboxes, integrations. With coexistence, one number can use both at the same time.
